A patch order is a sequence of approvals. You supply the idea and order details; Liberty reviews what the selected construction can reproduce; the proof records the agreed visual result before production starts.

Project-specific payment, revision, sample, and remedy terms stay in the quote where they can be confirmed for the actual order.

The artwork in whatever state it is in, the quantity, the finished size, where the patch is going and the date you need it. Any of those you leave open we will ask about rather than assume. There is no minimum, so a single piece is a complete brief.

Review construction
Us
We check the design against the construction you are considering and name anything that will not hold at your finished size. Rough artwork is redrawn by hand, and vector conversion and digitizing are included with a patch order. If a different construction suits the design better, this is when we say so.

Confirm the quote

The quote states what is being made, at what size, in what construction, with which backing, and in what quantity. It is valid for 14 days. Nothing is charged at this point; a quote is a price, not a commitment.

A digital proof shows the size, colors, border and backing. Your first proof and one revision are included with a patch order. This is the decision point: nothing is made before you approve, and the approved proof is what the finished pieces are checked against afterward.

Production follows your approval and the applicable payment. The first piece off the run is approved before the rest continues, and every piece is inspected afterward. Where the construction calls for it, a new design gets a test sewout before the full run.

Finished patches are packed and handed to UPS or FedEx, with tracking sent by email or SMS where available. US shipping is free, worldwide shipping is quoted, and we pay duties and taxes on international orders.

What Each Handoff Confirms

Construction review

Before a price exists, the design is checked against the construction at your finished size. This is where small type, gradients and line weights get resolved, and where we tell you if a different build suits the artwork better than the one you asked for.

Project terms

The quote states what is being made and what it covers, and it is valid for 14 days. Payment follows proof approval rather than the quote: smaller orders are paid in full after approval, larger orders are split with the balance before shipping. The threshold is stated in your quote and in the terms.

Quality control

The first piece off the run is approved before the rest continues, and every piece is inspected afterward against the approved proof. Defects, or a material mismatch against that proof, are remade, and if it cannot be resolved you get a refund.

Separate transit

Shipping is confirmed for your order rather than folded into a single number. UPS and FedEx, free within the US, quoted worldwide, with duties and taxes paid by us on international orders and tracking sent where available.

What approval means

Approving the proof is the point where an idea becomes an order. Before it, nothing is committed and nothing is charged: you can change the size, the colors, the material or your mind. After it, production follows your approval and the applicable payment, and the approved proof becomes the thing every finished piece is checked against. That is why we would rather you took an extra day over the proof than approved it quickly and found a problem in the box.

What should I send first?

The artwork in whatever state it is in, the quantity, the finished size, where the patch is going and the date you need it. A sketch and those four facts is a better brief than a perfect file with none of them.

When does production start?

After you approve the proof and the applicable payment is made. Nothing is produced before that, which is why proof approval is the point in the process that most affects your schedule.

Can I request proof changes?

Yes. Your first digital proof and one revision are included with a patch order. If the design needs more work than that, we will tell you rather than quietly stopping.

Is a physical sample included?

A physical sample is included once your order is confirmed and paid. You can also buy a sample on its own beforehand, and that cost is credited in full against an order placed within 30 days.

What can change the schedule?

Most often, waiting on proof approval, artwork that needs more rebuilding than expected, or a change requested after approval. The first is the one you control directly.

What if something arrives wrong?

Tell us. Defects or a material mismatch against the approved proof are remade, and if it cannot be resolved you get a refund. The approved proof is the reference, which is why it is worth reading carefully before you approve it.
