A patch order produces up to four distinct files, and they are not versions of each other. Confusing them is the source of most file questions we get, so this section explains what each one is, what it can be used for, and who typically ends up holding it. The columns show the customer copy, the record we keep, and the current status of the policy covering it.

What the Final Policy Must Answer

This is the part of the page we are not going to fake. A file policy has to answer several questions properly, and until those answers are reviewed and written they are listed here as open rather than filled in with something plausible. What we can tell you now is that the deliverables for your order are stated in your quote. Ask for them to be named and they will be, in writing, before you commit.

File Policy, Answered Honestly

Who owns the artwork I submit?

You do, and you confirm when you send it that you own it or are authorized to use it. We will decline artwork that appears unlawful or misrepresented, and we do not perform trademark clearance on your behalf.

Will I receive the vector or stitch file?

What you receive is stated in your quote rather than assumed. Ask for the deliverables to be named before you commit and they will be, in writing.

Why might Liberty retain a production copy?

So a reorder can be produced from the same file rather than rebuilt. That is the practical reason. The formal retention terms are part of the policy still under review, which is why this page lists them as pending rather than stating them.

Can my design be reused or shown publicly?

This is one of the questions the final policy has to answer, and it has not been settled yet. We are not going to state a position here that has not been reviewed. Ask for it to be addressed in your order terms if it matters to you.

How do I request a copy?

Ask, with your order reference. What can be supplied depends on which file you mean and what your quote stated, so the answer is specific to your order rather than general.

What if the artwork includes someone else's mark?

You must own the artwork or be authorized to use it. We may refuse work that appears unlawful or suspicious, and we do not carry out trademark clearance or verify authorization on anyone's behalf.
